One team, from the first idea to the system that runs your week
We build bespoke business software, the websites around it, and the search and marketing work that makes any of it worth finding. The reason it is one team rather than three suppliers is that the joins between those three are where most projects quietly fail.
What we do
Three things, and one of them is much larger than the others
Most of what we are asked for is software. The websites and the search work exist because a system nobody can find, and a system that does not talk to the site taking the enquiries, is half a system.
Bespoke software
The largest part of the work. Custom CRM, operations and job-management systems, client portals and internal web applications, SaaS products and mobile apps — built around a process rather than bought and bent to fit one.
How a software build runsWebsites and e-commerce
Website design and the build behind it, online shops, and the care plan that stops a site quietly rotting after launch. Search visibility is decided during the build, not bolted on afterwards.
What we build into a siteWhy it is one team
Why does it matter that the same people do all three?
Because the expensive failures are almost never inside one discipline. They are at the joins. The tracking that tells you which campaign produced an enquiry only works if whoever built the campaign and whoever built the site agreed on it first. A CRM only captures the source of a lead if the form writing into it was designed with that in mind.
When those sit with three suppliers, each one is technically right and the result is still broken — and the conversation needed to fix it is a conversation nobody is paid to have. When they sit with one team it happens internally, before it becomes your problem. That is the whole argument, and it is why we build the system and make sure it gets found rather than doing one and recommending someone for the other.
It also means we can say no to half a project. If a website rebuild will not fix what is actually wrong, we would rather tell you that than take the work and hand you a faster version of the same problem.
How we work
Four gates, and you sign off at each one
Bespoke software goes wrong in one of two ways: nobody wrote the scope down, or nobody saw the thing until it was finished. Both are process failures, so the process is built to prevent them.
01
Discovery
Half a day to a day, ideally at your premises. We watch how the work actually happens — not how the process document says it happens — and talk to the people who will use the system, not only the people buying it.
A documented process map
02
Design
Screens and a data model before code. You see wireframes and then a clickable prototype of the core screens. Changing a prototype costs hours; changing a built system costs weeks, so this is where disagreements are meant to surface.
Wireframes and a prototype you sign off
03
Build
Delivered in stages, each one onto a staging environment your team can log into and use. You are never waiting until the end to find out whether we understood you.
A staging environment you can use
04
Handover and support
The source code, the database schema and the designs are yours. We hand over the repository with its history, the deployment documentation and the accounts in your own name, and support afterwards is a choice rather than a dependency.
Everything, in your own accounts
The same four gates run whether the project is a custom CRM, a web application or a first SaaS release. What changes between them is how long each gate takes, not whether it happens.
What we will tell you
Five things most agencies will not say out loud
Every one of these has cost us work, which is the only reason any of them is worth reading.
Sometimes the answer is not to build
Most of the time an off-the-shelf CRM is fine and a bespoke one is an expensive way to get the same result. We say so before the quote rather than after the invoice.
We publish no prices, and we do not hide them either
A price on a page is a guess about a business we have not met. What we do publish is what actually drives the cost of a software project and what the UK market charges, so you can judge a quote from anyone.
Organic social is usually a credibility exercise
For most B2B and trade businesses it will not produce enquiries directly, and an agency that sells it as a lead channel is selling something it cannot deliver.
Most SEO retainers disappoint for a reason
The reason is almost always that nothing gets implemented. An audit that sits in a folder is a cost, not an improvement, which is why we would rather do the work than hand over the document.
Nobody can guarantee an AI citation
Answer engines choose their own sources and change how they choose without telling anyone. What can be done is make a page worth quoting; what cannot be done is promise that it will be.
Where we draw the line
What we will not do
A list of exclusions is more useful than a list of promises, because it is the one a supplier cannot write without meaning it.
- Sell you a rebuild when the real problem is one broken integration
- Put your advertising account in our name, or keep your conversion tracking where you cannot see it
- Write location pages for towns we have no connection to, in order to rank in them
- Build a mobile app when what you are describing is a website with a login
- Take on a care plan for a site we believe is past saving without telling you so first
- Quote a number before we understand what the system has to do
The team
The people doing the work
There is no account management layer between you and the person building your system. You work directly with the people responsible for the work.
Where we are
Do you work with businesses outside the West Midlands?
Yes, and most of the work runs remotely regardless of distance. The company is registered in Oldbury, which matters if you want someone in the room during discovery and changes nothing about how a project is scoped, reviewed or handed over.
Being nearby does make one thing easier. The first gate works best on site, watching how the job actually moves through your office or yard, and that is simpler an hour up the road than three hundred miles away. Where distance makes it impractical we run discovery remotely rather than putting travel on a quote.
Our delivery record so far is international rather than UK-based. We would rather say that plainly than imply a local portfolio we do not yet have — the systems we have built show the kind of problems we take on.
Questions
What people ask before the first call
What does Prabhu Solutions actually do?
We build bespoke business software — custom CRM, operations systems, client portals and integrations — and the websites, search and marketing work around them. Software is the larger part of the business; search and advertising are sold properly rather than as a bolt-on to a build.
Where is Prabhu Solutions based?
The company is registered at 14 Chester Rise, Oldbury, B68 0SS, in the West Midlands. Discovery happens on site where distance makes that practical, and the rest of a project runs on calls, shared documents and a staging environment you can log into.
Do you work with businesses outside the West Midlands?
Yes, and most of the work runs remotely regardless of distance. Being registered in Oldbury matters if you want to meet in person during discovery; it changes nothing about how a build is scoped, reviewed or handed over.
Who will I actually be talking to?
The people doing the work. There is no account management layer between you and the engineer building your system, which is a consequence of the size of the team rather than a policy we invented afterwards.
Who owns the code and the data you build?
You do. On final payment the source code, the database schema and the designs are yours, handed over with the repository history, the deployment documentation and every account in your own company name.
What if we want to move the work to another developer?
You take everything with you. We hand over the repository, a full data export, environment variables, deployment instructions and the domain and hosting accounts, because a supplier who is hard to leave is a supplier you cannot negotiate with.
If the question is about cost, what a bespoke system costs in the UK and what a website costs are written up in full, with market figures rather than ours. Everything we do is listed here.
